How we connect to QuickBooks

Bookkeeping Operations is a service: we do the work, and you keep using QuickBooks exactly as you do now. There is no software of ours for you to learn, log into, or pay for. This page explains the one technical thing that does happen — our connection to your QuickBooks Online company — so you can decide about it with the facts in front of you.
1. Who uses the connection
Only our own bookkeeping team. The tool the connection feeds is internal to Pingtail Partners: it is not listed on the QuickBooks App Store, it is not sold or licensed to anyone, and no client of ours has an account on it.
That is a deliberate limit, not a stage we are passing through. What you buy is finished bookkeeping work, and the tool exists only to let a small team do that work carefully and leave a record of it.
2. What it reads
Transactions, the chart of accounts, invoices, bills, customers and suppliers, and the standard financial reports — the same material any bookkeeper opens to reconcile a set of books.
It is read through Intuit's official QuickBooks Online API over an authorisation you grant and can withdraw. We do not ask for, and will not accept, your QuickBooks username and password: a bookkeeper signing in as you leaves no way to tell your actions from ours in the audit log.
3. What it never does
- It does not move money. It cannot pay a bill, send a payment, or touch a bank feed's credentials.
- It does not change your books on its own. Every correction is proposed, put to you where the answer depends on a fact only you have, and applied only after approval.
- It does not pass your data to anyone else for their own purposes, and your data is never used to train any model. How we handle it is set out in our Privacy Policy.

4. The last step is done by hand — by us
Closing a reconciliation happens inside the QuickBooks interface. There is no API for it, so nobody automates that step — not us, not anyone, whatever their marketing says.
So one of our bookkeepers does it in your QuickBooks, the same way any bookkeeper would, using the access you granted. It is part of the service, not something handed back to you. Nothing on this page asks you to finish the job yourself.
What our software changes is how long that takes and how much of it is guesswork. By the time a person opens your books, the statement is already matched against the ledger, the duplicates are identified, the missing and misposted entries are listed, and every proposed change carries a reason and a way to reverse it. The manual step is then a review and a confirmation rather than weeks of hunting.
That is the whole shape of this: people do the judgement and the final click, software does the searching and the arithmetic.
